PERETZ Clients Now Have Their Own Portal
Our clients now follow their projects in a client portal: stages and dates, what the team needs from them, documents, meetings and every discussion, in Ukrainian, Russian or English.
IN SHORT
What is new
PERETZ clients now have their own section of our site: a client portal at portal.peretz.agency. Each project lives there with its stages and dates, the approvals and requests the team is waiting for, documents, meetings and every discussion. Clients sign in from the lock icon at the top of any page of peretz.agency. Access comes by invitation when a project starts.
WHY
Why we built it
Before the portal, a project lived in several places at once. The stages were in a spreadsheet, files were spread across links to different services, decisions were in email, and the quick questions were in messengers. Everyone could find everything in the end, but it took time on both sides, and the question "who approved this, and when?" took the most.
We tried to solve it with tools made for other jobs. A CRM is built for sales, a task tracker for developers, a shared drive for files. None of them shows a client the project the way a client thinks about it: what has been done, what is happening now and what is waiting for them. We also wanted the team side to be just as clear: the portal shows our people what needs attention today, from an approval that is late to a request nobody has answered yet. So we built the portal around exactly that, the same way we build systems for our clients: around how the work actually runs, not around a template.
One place for the project, instead of a spreadsheet, a drive and three messengers.
INSIDE
What a client sees
- The project and its stages, each with dates, a status and a history of changes, so the progress of the whole project is visible at a glance.
- "Needed from you": the approvals and requests the team is waiting for. When the client has done something, it is marked as done, and the team sees it at once.
- Discussions on the whole project and on each stage, kept next to the work they are about instead of in a long mail thread.
- Documents. Files up to 2 MB are uploaded directly; photos and video are added as links, so heavy media stays where it already lives.
- Meetings with calendar invitations, times shown in each person's own time zone, and notes after the call.
- The team: who works on the project and how to reach them.
- A calendar with the dates of every stage and meeting across the client's projects.
Every approval is stored with who gave it and when. A month later, nobody has to dig through mail to find out what was agreed, and a new person on either side can read the history of the project instead of asking for it.
NOTIFICATIONS
Notifications and languages
The portal writes by email when something changes that concerns the client: a stage that needs approval, a new request, a comment, a meeting invitation. It can also send browser notifications to a computer or a phone, and on a phone it can be added to the home screen and opened like an app.
Each person chooses the language of the interface: Ukrainian, Russian or English. A client and the team can work in the same project, each in their own language, which matters for us because our clients are in different countries.
ACCESS
Access and security
There is no open registration. A client receives an invitation by email when a project starts and sees only the projects they are linked to. Team accounts are protected by two-factor authentication, sign-in attempts are limited, and the portal is closed to search engines, so nothing from a client project can turn up in a search.
To sign in, use the lock icon at the top of any page of peretz.agency, the client portal link in the footer, or go straight to portal.peretz.agency.
WORK
Projects and teams in one place
Fixed projects run in the portal from the first stage to the launch. A dedicated development team and specialists who join a client's own team work there too, so a client who works with us in more than one format still has a single place for all of it. The services we launched this month are listed in our news about Teams and the new development services.
The portal is also an example of what we build for others. It is a web application with roles, stages, approvals, documents and notifications, the kind of system companies ask us for when their process does not fit a ready-made service. If you need something similar for your own clients, partners or staff, see Web Application & SaaS Development.
We use the portal every day ourselves, and it grows as our projects ask for something new.
Planning a project with us? It starts with a strategic session: two to three hours, prepared in advance, $500, credited toward a project we build within 30 days.
One notification a week with the new PERETZ articles. Nothing else.
